What we collect, and why
- The "Summon the Wizard" form. Your first and last name, email address, phone number (if you give one), the service you chose and what you wrote about your project. We use it only to answer you and to talk about the work. We check that your email domain can receive mail, so a reply can reach you.
- Security records. The address your request came from (your IP address), with what happened: a message sent, a login, a wrong password, or a request that looks like an attack. They help us keep the site and its accounts safe.
- Staff accounts. If you have a login, its name, email address and when it was last used. Passwords are never stored, only a one-way hash.
- The Arcane Forge. If you are given access, the text you send to a spell goes to an AI provider (Anthropic, or a free gateway that forwards to an AI provider) to produce the answer; we keep a record of each run and its cost, not the text you sent.
- The "Ask the Acolyte" chat. What you type in the chat box, with the conversation so far, so the AI guide can answer. Chat messages are answered by an AI running on our own hardware and kept for 7 days. Please don't share personal or payment details in the chat.
Forward nonprofit applications
Tech It Forward is the account hub for Tech, Print, Web, Automate, Sell and Nonprofit It Forward on aiacolyte.com. Applications include the nonprofit’s name, address, EIN and other registration identifiers, public website, requester’s name, contact details and the information you choose to provide. We compare public IRS records and website information, record the sources and results, and email the application and findings to the owner. Dedicated Forward application admins and the owner can review these private records. A public-record match does not automatically approve an application or confirm the requester’s authority.
Pending and declined applications are deleted after two years. Approved records are kept while the linked nonprofit account remains active; removing that account removes its application and organization records during daily cleanup. Account emails use our configured mail relay. New temporary passwords are hashed, expire after 24 hours and must be replaced at first login. Passwords are never stored in plaintext.
Forward idea routing
The Tech It Forward idea prompt sends your description and organization type to the configured AI connection to suggest an associated service. The routing step does not submit a contact request or email your idea. You review and send a request on the selected service’s form. Avoid private personal information, passwords and access keys in the idea prompt. The owner can connect local Lichstone AI or a paid Anthropic API connection; service-provider processing applies to the selected connection.
Your original description is carried in this browser tab’s session storage using an opaque link token, with a 30-minute handoff expiry. It is removed after a successful form submission or when this tab’s session ends. The description is not placed in the page URL or stored in the server’s routing records. Routing limits keep short-lived opaque visitor counts and current day/month totals, not your description.
Cookies
Only one, and only when you log in: a session cookie that keeps you logged in for up to 12 hours. Visitors who do not log in get none. There are no advertising or tracking cookies, and the site's visitor statistics are made from the server's own logs.
How long we keep it
- Contact messages kept on the site: 2 years, then deleted. (The copy emailed to us stays in our mailbox until we delete it.)
- Security records: 90 days in full; after that the IP address is shortened so it no longer points at one device.
- Chat messages: 7 days, then deleted. (While the chat is open, your conversation is also kept in your own browser tab until you close it.)
- Backups: copies of the above are kept for up to 30 days, encrypted when they leave our server, and then deleted.
Who sees it
The owner of AI Acolyte, and dedicated Forward application admins for nonprofit applications. Your messages and account emails are delivered by an email relay service. Public-record and website checks read public sources. We do not sell your information or use it for advertising.
Your choices
To see what we hold about you, have it corrected, or have it deleted, reply to any email from us, or send a summons with the form and say so. We will answer within 30 days.
